The Challenge

A European technology company with operations across 12 Latin American countries needed to bring together 80 regional sales leaders for their annual conference. Previous years had rotated between Mexico City and São Paulo. The LATAM director wanted a central location that would feel fresh, offer modern conference facilities, and provide memorable team-building experiences — all while keeping costs manageable for a four-day program.

Key requirements: a venue that could handle plenary sessions for 80 plus four breakout rooms for 20, reliable high-speed internet for live demos, and evening activities that would encourage networking across country teams that rarely met in person.

Our Solution

Day 1: Arrivals & Ice-Breaker

With direct flights from every major LATAM capital, Bogotá proved to be the most accessible hub. Most participants arrived by early afternoon. We arranged airport VIP fast-track and group transfers to the hotel in the Usaquén district. The evening kicked off with a Colombian street food walking tour through Usaquén’s weekend market area, where teams competed in a scavenger hunt that required ordering local dishes, finding specific artisan stalls, and learning salsa basics from street performers.

Day 2: Conference Sessions & Networking Dinner

Full conference day at a modern venue in northern Bogotá. Morning plenary with the global CEO via video link, followed by four parallel breakout sessions on regional strategy, product launches, competitive positioning, and customer success stories. We coordinated all AV equipment, simultaneous translation (Spanish-Portuguese-English), and catering with Colombian-themed coffee breaks featuring regional varieties from Huila, Nariño, and Sierra Nevada. The evening: a private buyout of a renowned restaurant in the Zona G gastronomic district, with a live jazz trio and a guided Colombian wine and spirits tasting.

Day 3: Team Building & Awards Gala

Morning breakout sessions concluded by noon. The afternoon was dedicated to team building: the group was split into mixed-country teams and taken to the outskirts of Bogotá for a Colombian coffee farm experience. Teams competed in coffee picking, processing, and cupping challenges — guided by a certified Q Grader. The day ended with the annual awards gala at a colonial hacienda, complete with a live vallenato band and a fireworks display over the Bogotá savanna.

Day 4: Optional Activities & Departures

For those with later flights, we organized three optional morning activities: a guided tour of Bogotá’s world-famous Gold Museum and La Candelaria historic district, a mountain bike ride through the hills above the city, or a visit to a local craft brewery. Staggered airport transfers ensured smooth departures throughout the day.
